Institutional Approval for Foreign Travel

Faculty and staff traveling abroad on behalf of The University of Texas at Dallas are required to obtain institutional approval at least two weeks before departure.

Foreign Travel Forms:

  1.
Travel Authorization

  2. Request for Approval by President’s Designee for State Employees – Exhibit B16

  3. Export License Exception Temporary Certification for Property – Exhibit B16 - EXC

By satisfying this process, a UT Dallas traveler is protected by UT Dallas while pursuing official functions abroad, including emergencies. Simultaneously, UT Dallas is able to meet Federal, State of Texas, UT System, and UT Dallas guidelines.


First Step:
Traveler submits (1) Travel Authorization Form and (2) Exhibit B16 to Supervisor for approval,
attaching (3) Exhibit B16 – EXC.

Traveler sends forms (1,2, and 3) to the Office of Research Integrity (Mailstop: AD 15)

Second Step:
Office of Research Integrity evaluates and approves Exhibit B16 – EXC


Office of Research Integrity forwards forms to the Office of International Education (Mailstop: GC 52)

Third Step:
Office of International Education evaluates and approves Exhibit B16

Office of International Education forwards forms to corresponding Dean or Vice President

Fourth Step:
Dean or Vice President evaluates and approves Exhibit B16

Office of the Dean or Vice President provides copies of (1) Travel Authorization Form, (2) Exhibit B16, and (3) Exhibit B16 EXC to traveler.

Office of the Dean or Vice President forwards original copies of (1) Travel Authorization Form, (2) Exhibit B16, and (3) Exhibit B16 EXC to the Office of Procurement (Mailstop AD 34).

 

International SOS

On April 22, 2010, The University of Texas System began requesting mandatory registration in International SOS for faculty, staff, and students traveling internationally on university-sponsored trips prior to travel. The registration is done automatically when University Contracted Travel Agencies are used (Corporate Travel Planners or Anthony Travel).

International SOS is the world's leading provider of medical assistance, international healthcare, security services and outsourced customer care. SOS is emergency assistance provided by the UT system (free) to UTD faculty, staff, and students.

SOS is NOT health insurance; however, it assists UTD faculty, staff, and students in resolving any international emergency situation, evacuation, repatriation, medical assistance in English, etc. Faculty / staff are expected to register in International SOS at least three weeks before departure: International SOS registration instructions / Electronic copy of UT System International SOS Card.
