Help Welcome University’s Newest Class of Scholars
|
Staff and faculty are invited to attend this year’s University Convocation at 4 p.m., Sunday, Aug. 19, in the Activity Center gymnasium.
University Convocation, the first step in a student's academic journey at UT Dallas, is the official welcome for all incoming students.
Faculty, student leaders and staff participate in the processional. Faculty, please wear your academic regalia, and staff may wear seasonally appropriate business casual attire. Please arrive at the Activity Center racquetball courts by 3:45 p.m. The ceremony will last approximately one hour, followed by the Welcome Back Bash, sponsored by Student Affairs.

Final Day to Complete Evidence of Insurability, Eligibility
The deadline to complete evidence of insurability (EOI) and evidence of eligibility is today, Wednesday, Aug. 15.
You are required to complete EOI if:
- You elected to add or increase voluntary group term life (VGTL) for yourself and/or your spouse, or
- You added short- or long-term disability.
You can complete EOI through My UT Benefits. EOI is not required for enrollment in the UT SELECT Medical plan.
Supporting documentation for evidence of eligibility is required if you added your spouse or dependent children to your UT Benefits coverage for the first time during Annual Enrollment. You may submit required documentation, such as a marriage or birth certificate, electronically through My UT Benefits or provide a copy directly to the benefits staff in Human Resources.
All EOI applications and all required dependent documentation must be postmarked or completed via My UT Benefits no later than Aug. 15.

Volunteers Needed to Greet, Guide Students
The Office of Facilities & Economic Development needs volunteers for the annual Student Welcome on Monday, Aug. 20, and Tuesday, Aug. 21. Each volunteer will work a few hours at one of several stations around campus to help give directions, answer questions, hand out giveaways and interact with students. Please email Brenda Romero or call ext. 2213 to volunteer.

Sign Up for University Recreation Membership, Services
University Recreation is accepting applications for annual membership. The membership offers access to the Activity Center and Recreation Center West. Group Exercise passes and workout towel services are also available, and current members who have lockers may renew them.
Please visit University Recreation Membership Services to fill out the application, complete with payment. You can pay with a credit card or use the coupon code “PAYROLL19” for payroll deduction (annual items only). Payroll deduction enrollment also can be done by completing the membership application and payroll deduction forms and emailing them to Greg Melton, faxing to 972-883-2026 or sending by campus mail to AB 10. The cost will be deducted over a nine-month period, with the first deduction taken Monday, Oct. 1. Payroll deduction signup will end Friday, Aug. 31.
Single semester memberships and services for fall 2018 are also available. All services can be purchased online or with cash, check or credit card at the Activity Center control desk.

MyEvive Participants Earn $1,500 for Comet Cupboard
The Office of Human Resources thanks everyone who registered and used MyEvive during Annual Enrollment. UT Dallas won the medium institutions challenge, “Ace Your Benefits.” The $1,500 prize will go to Comet Cupboard. Benefits-eligible employees are encouraged to continue to register and use MyEvive, a communication tool that provides personalized benefits information.

Participate in Dallas Heart Walk with Co-Workers
UT Dallas is supporting the American Heart Association by participating in the 2018 Dallas Heart Walk. The three-mile, noncompetitive event will be at 8:30 a.m., Saturday, Sept. 8, at the base of Reunion Tower.
There are three ways to participate:
- Be a coach: Email Taylor Tran to help recruit more walkers for UT Dallas.
- Join a team: Register to participate and raise funds.
- Show support: If you are unable to participate, please consider making a donation.

Reminders
Submit, Approve Absence Requests by Aug. 31
All absence requests (sick or vacation) — up to and including Friday, Aug. 31 — must be submitted and approved by midnight Aug. 31 for the purposes of the end of the fiscal year. Outstanding absence entries from previous months should be submitted immediately. All remaining saved and unapproved absences in the system as of Aug. 31 will be deemed approved and will be processed by the Office of Human Resources.
UT FLEX Deadline Is Approaching
The last day of the 2017-18 UT FLEX plan year is Friday, Aug. 31. It is also the last day you can incur eligible dependent care expenses to claim toward your DCRA election. The deadline to use HCRA funds is Thursday, Nov. 15. For both accounts, the deadline to file claims for reimbursement is Friday, Nov. 30. Review Your Benefits Changes
Human Resources urges employees to review their confirmation statement to be sure their elections for the new plan year are correct. If you notice any discrepancies, please contact the office immediately to review the circumstances and determine if a correction is possible.

Quenching Curiosity — Three Minute Thesis, 7 p.m., Wednesday, Aug. 22, Northside Drafthouse & Eatery: Finalists in UT Dallas’ Three Minute Thesis competition will explain their research — using ultrasound to reduce the need for surgery, building the next generation of chemical sensors to save lives, and engineering ways to help mothers who have difficulty breastfeeding.
