The Constitution of the Math Club

  1. Name
    1. The name of the group is "The Math Club" (hereinafter referred to as the "Club").

  2. Objects
    1. To promote mathematics between the students and faculty of the University of Texas at Dallas.

  3. Duties
    1. To administer the membership, organization, property and moneys of the Club.

  4. Definitions
    1. "Club" refers to the Math Club.
    2. "Members" refers to the people that have been accepted for membership in accordance with the provisions of Article 5.
    3. "Officers" refers to the elected President, Vice President, Secretary, and Treasurer.

  5. Membership
    1. Members
      1. The membership of the Club shall consist of all students or faculty that have an interest in math.

    2. Qualification for membership
      1. Active members of the Club shall be students enrolled or faculty working at the University of Texas at Dallas.

  6. Meetings of the Association
    1. There shall be a monthly general meeting.
    2. There shall be a monthly board meeting one to two weeks before the general meeting.

  7. Procedure at Meetings
    1. The agenda for the general meeting shall be prepared by the board and shall include the following together with such other items as may be considered necessary.
      1. Communications and Greetings.
      2. Minutes of previous meeting.
      3. Any other business.

    2. Voting at Meetings
      1. Voting Rights
        1. Each member present shall have equal voting rights being one vote.

      2. Voting upon other matters
        1. In all matters requiring a decision of the Club a simple majority shall prevail.
        2. Other than where a secret ballot is taken, all voting shall be by a show of hands.

    3. Voting by the President and Casting Vote.
      1. The President shall not be entitled to vote at any meeting of the Club save in the event of the votes cast for or against any issue being equal in which case the President of the meeting shall have a casting vote.

  8. Officers of the Club.
    1. The officers of the Club shall be the President, Vice President, Secretary, and Treasurer.

  9. Duties and Conditions of the Officers
    1. President
      1. The members shall elect the President at the general meeting for such a period of one year.
      2. The President shall send notices of meetings and shall perform such duties required to maintain the running of the Club.

    2. Vice President
      1. The members shall elect the Vice President at the general meeting for such a period of one year.
      2. The Vice President shall, if the need arise, take over the duties of the President should the President be unable to complete his or her duties.
      3. The Vice President shall assist the President by performing any duties needed.

    3. Secretary
      1. The members shall elect the Secretary at the general meeting for such a period of one year.
      2. The Secretary shall ensure the preparation and maintenance of the minutes of the meetings of the Club and other records of the Club.

    4. Treasurer
      1. The members shall elect the Treasurer at the general meeting for such a period of one year.
      2. The Treasurer shall ensure the preparation and maintenance of the financial reports including the checking account and budgets of income and expenditures.

  10. Finance and Administration
    1. Fees
      1. Each member of the Club shall pay annually a membership due determined by the Club.

    2. Administration of funds
      1. The Treasurer shall be responsible for the day to day administration of funds of the Club, such funds being supervised by the President and Advisor.
      2. The Treasurer shall be responsible for the preparation of an itemized budget of income and expenditure monthly.
      3. The Treasurer shall require another signature to be able to write checks from the checking account.
      4. All expenditures will require a receipt for accounting purpose.

  11. Amendments to the Constitution and Standing Decisions
    1. All proposals to amend the Constitution by Club member shall be received by the President at least one month before the date of the next general meeting for which such proposal are submitted.

    2. The President shall present the proposed amendment to the membership at the next general meeting.
